Microsoft Dynamics Integration Guide

Connect your Microsoft Dynamics account to export event leads into Dynamics Leads. Choose the right environment, map your fields, and send records through a guided export flow.

Before you start

A Microsoft work account
Use the Microsoft account that has access to your Dynamics environment.
Access to Dynamics Leads
Your Dynamics user needs permission to view, create, or update lead records.
An Intelevents account
With at least one event and some captured leads.
Some leads to sync
The attendee and badge data you want exported into Dynamics.

Setting it up

1. Navigate to Integrations

Log in, select your event, then go to 'Integrations' in the sidebar. You'll see the Microsoft Dynamics card there.

2. Connect your account

Click "Connect to Microsoft Dynamics" and you'll be sent to Microsoft's sign-in page. We use OAuth, so you're simply granting Intelevents permission to work with your Dynamics lead data.

Quick note on permissions:

During sign-in, Microsoft may show permissions like Access Common Data Service as youand Sign you in and read your profile. That is expected for this integration.

3. Choose your Dynamics environment

After Microsoft signs you in, Intelevents will show the Dynamics environments your account can access. Pick the environment you want to use for lead exports.

If you're testing for the first time, the Sales Trial environment is usually the best place to start. If your organization already has a live Dynamics setup, choose the environment where you actually want new leads to be created.

4. You're connected

After you select the environment, you'll be redirected back to Intelevents. The Dynamics card will show as connected and display the selected environment name.

Using the integration

Choosing the right environment

The selected environment is where all Dynamics lead lookups, creates, and updates will happen. If you connected to the wrong one, disconnect and reconnect to choose a different environment.

This is especially important if your Microsoft account can access multiple Dataverse environments.

Auto Sync

Auto Sync creates new Microsoft Dynamics Leads automatically as event leads are captured. Set it up once and walk away—every lead from your booth flows into Dynamics in the background.

To turn it on:

  1. Open the Microsoft Dynamics card and click "Auto Sync."
  2. Map your event lead fields to Dynamics fields (Email is required).
  3. Click "Save & Enable Auto Sync."

The card will show "Auto Sync Active" with the latest run time.

Exporting leads

The export wizard helps you choose the right records, review what is already in your selected Dynamics environment, map your fields, and send everything over with confidence.

Select Records

Leads are grouped by email so repeat scans stay together. We check the selected environment to see what is already in Dynamics, then let you review matches before exporting.

Field Mapping

Match your Intelevents fields to Dynamics Lead fields. Required fields stay front and center, and Lead Topic (Auto) helps fill the required Topic field for you.

Review & Export

Before the export starts, you get a final summary showing new leads, records you'll skip, and records you'll overwrite.

Field mapping

This is where you decide how your event data should land in Dynamics. Standard badge fields like last name, first name, company, and email are great starting points, and you can also map device data, survey responses, AI-generated fields, or raw badge fields when needed.

The wizard also includes Lead Topic (Auto), which is a bundled field designed to fill the required Dynamics Topic field for you.

Pro tip: Start with a small test export to confirm your mappings before sending a larger batch.

Things to watch out for

Choosing the wrong environment

If your Microsoft account can access more than one Dynamics environment, make sure you pick the one where your team actually wants leads to land.

Required fields

Dynamics Leads require certain fields. The wizard keeps required targets at the top and won't let you continue until they're mapped.

Existing or unmatched leads

When a lead is already in the selected environment, you can review the match before exporting and choose whether to skip it or overwrite it. If a lead is missing an email, or Dynamics finds more than one possible match, we'll keep it out of the overwrite path.

No environments returned

If Microsoft signs you in but no Dynamics environments appear, your account may not have access to a Dataverse environment yet. In that case, ask your Dynamics admin for access and try again.

Auto Sync and duplicates

If a lead already exists in Dynamics by email, Auto Sync skips it—existing leads are never overwritten. Use Manual Export if you need to update existing records.

Editing Auto Sync settings

While Auto Sync is on, the field mapping is locked. Disable it first, make your changes, then re-enable.
